Multi-factor Authentication (MFA) - How to Set Up Verification Options

Sasaki requires multi-factor authentication when logging into both Okta and VMWare for added security. You will be prompted to confirm your identity after entering your username and password. 

The instructions below will help you set up your MFA verification options. For help getting through the login process with MFA, please see: MFA - Logging into Okta & VMWare.


Accessing your MFA settings:

You may need to modify your MFA settings for a few key reasons: to add another method as a backup, if you are changing to a new mobile phone, or are using a new phone number. These settings can be found within your Okta account.

  1. Go to your Okta homepage and log in:
  2. Click on your name in the top-right corner and then select Settings.
  3. Click the Edit Profile button at the top-right of the page.
  4. You will be prompted for your password and MFA again here for added security.
  5. Scroll to the bottom of the settings page and you will see the section for "Extra Verification".
  6. Here you can click the "Set up" or "Remove" buttons to update your account anytime.

*If you are already unable to access Okta due to MFA, please contact the helpdesk via email so we can reset you-- (TIP: Having SMS as a backup option can prevent lockouts!)


How to set up the different verification options ("factors"):

A) Okta Verify mobile app (recommended)

  1. Start the setup from your computer:
    1. Navigate to your Okta settings page following the instructions above.
    2. In the "Extra Verification" section, click the "Set up" button next to Okta Verify.
    3. On the next screen, click the "Setup" button again to continue.
    4. Next, select the type of phone you have (iPhone or Android).
    5. Refer to the download link for your phone's app store here if needed, and click "Next".
    6. You should now see a QR code on screen-- you will scan this with the mobile app in a later step!

  2. Complete the setup from your mobile phone
    1. Download and install the Okta Verify app from App Store or Google Play on your phone.
    2. Launch the app and proceed through any intro/welcome screens.
    3. Click on the "Add account" button (or the + sign).
    4. For account type, choose "Organization".
    5. Next, click "Scan QR code". Use your phone to scan the QR code that you have open on your computer screen.
    6. You may be prompted to add permissions for the app to allow camera access and push notifications. These are normal for the app's functionality.
    7. That's it! You should now see a confirmation message that Okta Verify is set up. You can close the app on your phone (but will need to leave it installed).

B) SMS / text messages (recommended as backup method)

  1. Navigate to your Okta settings page following the instructions above.
  2. In the "Extra Verification" section, click the "Set up" button next to SMS Authentication.
  3. Next, click the Setup button for "SMS Authentication".
  4. Enter your mobile phone number in the text box and click "Send code".
  5. Check your phone for the text message, then enter the code from the body of the message.
  6. You should now see a confirmation message that text messaging is all set.

C) Google Authenticator (alternative option)

  • You will see a another option listed for "Google Authenticator". Setting up a 3rd option is not necessary, but you can choose to use it for Okta MFA if you prefer. This may be beneficial for those who already have Google Authenticator installed for use with other sites, and don't want to install another MFA app.  To add, click the Setup button and follow the on-screen prompts to link your Okta account to the app.


Switching Okta Verify to a new phone:

  1. Log into Okta as usual. When prompted for MFA, use the drop-down menu to select SMS to receive a text message verification.
  2. Navigate to your Okta settings page following the instructions above.
  3. Under "Extra Verification", click the "Remove" button next to Okta Verify to unlink your old phone app.
  4. You can then immediately click "Set up" next to Okta Verify to setup the app on your new phone (see steps above if needed).
